Microsoft has released a feature that moves Outlook email signatures from each local device to the O365 cloud. As a part of the changes, Outlook email signatures will be uniform across all devices (PC, Mac, phone, tablet, etc).
The changes from Microsoft will impact certain functionality of the Terminus Outlook Agent in the short term and its ability to update email signatures on an ongoing basis (more details below).
That said, this has the potential to be an overall positive change that allows Microsoft & Terminus customers to standardize their email signatures across all devices, without having to route mail. Terminus has run into issues in the past with standardizing signatures on mobile devices and this change may provide a path to getting past that issue.
How Terminus Currently Works
The Terminus Outlook Agent currently adds a new file to a user’s hard drive representing the Terminus-controlled signature - copying the user’s existing default signature if the customer is campaign-only, and updates a registry value to make said signature the default. It also updates this file every 15 minutes to reflect changes to the signature done in the Email Experiences platform.
The Agent also handles recipient tagging on message send as well as alternate banner functionality.
With roaming signature functionality enabled, Outlook Agent versions 6.4.0 or older will not have the ability to update on-disk signatures based on the structure of on-disk files and registry values.
If using Outlook Agent versions 6.4.0 or older, this update does not affect recipient targeting or alternate banner functionality - only the ability to install new signatures for clients or update existing signatures.
Terminus has developed a new version of the Outlook Agent (v6.5.0) that supports signature management with roaming signature functionality enabled. To install this latest version, visit the Install page in Email Experiences.
Please note that the latest version of the Outlook Agent in conjunction with roaming signatures functionality does not support signature management with alternate email addresses set up within Outlook.
